Privacy notice
What personal data the school holds, why we hold it, who we share it with, and how to ask us about it.

Who we are
Star Avenue School Ltd. ("the school", "we") is a private basic school in Kokomlemle, Accra, Ghana. We are the data controller for the personal data described in this notice.

What we collect
We collect only what we need in order to admit, teach and look after a child.
- Pupil details: name, date of birth, gender, photograph, previous school, class and academic records
- Health information: immunisation record, allergies, chronic conditions and medicines administered
- Parent and guardian details: name, relationship, phone, WhatsApp, email, occupation, residential area and Ghana Card number
- Emergency contacts and the names of adults authorised to collect a child
- Financial records: fees invoiced, payments received and receipts issued
- Website enquiries: anything you type into a form on this site, together with the date and time
Why we collect it
Each category of data has a purpose, and we do not use it for anything else.
- To admit a child and place them in the right class
- To teach, assess and report on a child's progress
- To keep a child safe — health records, allergies, collection lists and safeguarding records
- To administer fees and to meet our accounting obligations
- To communicate with parents about the school
- To meet our obligations to the Ghana Education Service and to WAEC for BECE registration
Photographs
We publish a photograph of a child on this website, on our social media accounts or in printed material only where a parent or guardian has given written consent.
Consent may be withdrawn at any time by writing to the office. If you ask us to remove a photograph, we take it down the same day.
Who we share it with
We do not sell personal data, and we do not share it for marketing.
- The Ghana Education Service, where we are required to report
- WAEC, for BECE registration and results
- Medical services, in an emergency involving a child
- Our bank and payment providers, for fee payments
- Service providers who host this website and deliver our email, under contract and only for those purposes
How long we keep it
Pupil academic records are kept for the duration of a child's time at the school and for seven years afterwards, so that we can supply transcripts and references.
Financial records are kept for six years, as required for accounting purposes. Safeguarding records are kept in line with our child-protection policy. Website enquiries that do not lead to an application are deleted after twelve months.
Keeping it safe
Paper records are held in locked cabinets in the front office and the clinic. Electronic records are held on password-protected systems accessible only to staff who need them.
Health records are held by the school nurse and are not routinely shared with teaching staff beyond what is needed to keep a child safe — an allergy, for example.
Your rights
Under the Data Protection Act, 2012 (Act 843) you may ask to see the personal data we hold about you or your child, ask us to correct anything that is wrong, ask us to delete data we no longer need, and object to a particular use.
Write to staravenueschool@gmail.com or come to the front office. We respond within thirty days. If you are not satisfied, you may complain to the Data Protection Commission of Ghana.
Cookies and this website
This website does not use advertising or tracking cookies, and it does not build a profile of you.
Nothing you type into a form on this site is stored in your browser's address bar or shared with a third party beyond what is needed to deliver the message to the school.
Changes to this notice
Where we change this notice materially we will say so on the parent noticeboard and in the term letter.
